Media & Privacy Information
Last updated: September 9, 2026
This page explains, in plain language, how photographs and video may be used at Academy activities and how we handle your family’s personal information. The full detail of our privacy practices is in the Privacy Policy.
Photography and Video at Academy Activities
Photography and video may occur during training sessions, games, tournaments, camps and Academy events. The Academy may use limited photographs or video where reasonably necessary for coaching, player development, safety review, internal records or administration.
Promotional Use Is Optional
Using a player’s image on our website, social media, promotional materials or event highlights requires the parent or guardian’s express consent. That consent is optional and separate from registration: it is collected as its own yes-or-no choice in the registration package, never bundled with the documents a family must sign to take part.
The Academy does not intentionally publish private medical information.
Withdrawing Consent
A parent or guardian may withdraw promotional consent at any time by writing to the Privacy Officer. Withdrawal applies going forward: it cannot always remove material that was lawfully published, printed, shared or incorporated into finished materials before we received the request.
How We Handle Personal Information
We collect only what we reasonably need: at the application stage, contact details and basic soccer background; detailed health information only after a player is accepted, as part of the registration package. We do not collect Alberta Health Care Numbers.
Access to registration records, signed documents, payment records and health information is restricted to the Academy’s Privacy Officer and authorised administrator. Coaches and volunteers do not have access to these records.
Storage, Retention and Your Rights
Some of our service providers process or store information outside Canada, including in the United States. Our standard retention period for registration information is three years after a player’s final participation, with some records kept longer where required.
You may ask what information we hold about your family, request a correction, withdraw consent, or ask us to delete information. All of this is set out in the Privacy Policy.
Privacy Officer
Denys Vakar is the Academy’s Privacy Officer and the contact for any question or request about personal information: DenysVakar@saCalgaryUA.ca.
This page is published for information. Viewing it is not a signature: the documents that require acceptance are sent privately for electronic signature after the Academy approves a registration request.
Questions About This Policy?
